Why do I collect data from you? 

I collect and use specific information about you in order to; 

  • Respond to your request for information via the contact form. This could be for information on editing, my availability, or a quote for my editorial services. 
  • Allow me to contact you during the editing process. 
  • Share my newsletters if you have signed up to receive them. 

 

What information do I collect from you? 

I collect the following information from you; 

  • Name. 
  • Email Address. 
  • Billing Address and information (if you comission editorial services from me). 
  • Information related to your enquiry. 

This information is provided by yourself and not collected in any other way. 

 

How do I use this data? 

The collect data is used for the following reasons; 

  • For my internal accounting processes e.g. creating and sending invoices. 
  • To contact you in response to enquiries. 
  • To discuss items relevant to the editorial process and provide these services. 
  • To send newsletters (if you opt in). 
  • Comply with legal obligations. 
  • To record your agreement to the terms of my services and the contract. 

Your information will only be used for marketting or promotional purposes if you have shared permission for me to do so, e.g. permission to publish your testimonial on my website, or if you have signed up for my newsletter or email list. 

 

How do I collect your data? 

I collect and store this data through the forms on my website and through any email exchange we might have. 

I will never lease, distribute, or sell your information to third parties unless you give me written permission to do so, or I am required to do so by law. 

You can ask me to remove your data from MailChimp and Brevo (the software I use to send emails and newsletters) at any time. 

Please note, this information is being held to send you emails and removal of your data will prevent you from being able to be contacted by me.  

 

How do I store your data? 

The data I collect is store on the following data servers; 

  • IONOS – This is my website host. It is password-protected and has SSL-certification to provide an additional layer of security. My emails are also sent through the IONOS server and so is also password-protected. 
  • Microsoft OneDrive – This is my personal cloud-based file management system. It is password-protected.  
  • MailChimp – This is my newsletter and email management system.  
  • Brevo – This is my SMTP for my emails. 

These servers have separate privacy policies on their websites; 

 

How long do I keep your data? 

Due to many of my clients wanting to work with me more than once, I do not delete data unless specifically requested to. 

HMRC requires me to keep records for ‘at least 5 years after the 31 January submission deadline of the relevant tax year’. Please send a request if you want me to delete or amend your data. As long as I’m HMRC compliant, I’ll action your request immediately. 

 

Who do I share your data with? 

I do not share your data unless you request that I do so in writing or HMRC audits my business.  

 

Children’s data 

Our services are not directed at individuals under 18.We do not knowingly collect data from children.  

 

UK GDPR 

I collect, use and protect your personal data in compliance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.  

We rely on the following lawful bases; 

  • Consent – for newsletters and marketing emails. These must be opted in to and can be opted out of at any time. 
  • Contract – Where processing is necessary to provide editing services. 
  • Legitimate interests – for website analytics and business administration. 
  • Legal obligation – where required by law. 

You have the right to; 

  • Access your personal data 
  • Request correction 
  • Request erasure 
  • Restrict processing 
  • Object to processing 
  • Withdraw consent (for marketing) 
  • Lodge a complaint with the Information Commissioner’s Office (ICO)
